Does HERO include GPS vehicle tracking?
Yes. HERO shows every vehicle on a live map with trip history, road-snapped routes, driver and speed per trip, and mileage by vehicle. Alerts for after-hours movement and speeding can be set for the whole fleet or per vehicle, and geofences email you when a vehicle enters or leaves a zone. Tracking units are hired per device, per month, and all position history is stored on HERO's own UK servers.
Can I set up a geofence from a postcode or address?
Yes. In Alerts & Zones you type a postcode or address, HERO finds it, and the zone is placed for you with an adjustable radius. You can also click the map to place a zone by hand.
Does HERO do daily walkaround checks and defect reporting?
Yes. Drivers complete the daily walkaround on their phone with photos and signatures. Defects are graded advisory or critical, a dangerous defect places the vehicle off the road until a fitter clears it, and the maintenance planner schedules inspections, services and MOTs. MOT and tax dates are pulled from the DVSA MOT history service automatically.
Drivers, licences & compliance
Can HERO check my drivers' licences with the DVLA?
Yes. HERO connects directly to the DVLA's Access to Driver Data service and returns the live licence record: status, categories and entitlements, endorsements and penalty points, plus Driver CPC and tachograph card status. Driver consent is captured electronically in HERO using the DVLA fair-processing declaration, so there are no paper mandates. Results are stored on the driver's HR file with full history, and HERO flags licence expiry, D4 medical renewals, points thresholds and CPC or tacho-card expiry. It is an optional add-on at £1.50 to £1.90 per check depending on your fleet, agreed when you enquire, with no monthly fee and no minimum order.
Does HERO track Driver CPC and tachograph cards?
Yes. CPC hours and expiry, tachograph card details and expiry, and every other mandatory driver document sit on the driver's HR file with reminders before they lapse. The DVLA licence check also confirms CPC and tacho card status live.
Which compliance schemes does HERO cover?
HERO tracks 57 UK schemes requirement by requirement, including O-Licence undertakings, DVSA Earned Recognition, FORS Bronze, Silver and Gold, CLOCS, ISO 9001, 14001, 45001, 27001, 50001 and 39001, ADR, CHAS and the main construction and procurement schemes. Each requirement holds its evidence, and internal audits, findings and corrective actions are managed in the same place.
Does HERO help with DVSA Earned Recognition?
Yes. HERO calculates the Earned Recognition KPIs from your own records: walkaround completion, safety inspection timeliness, MOT first-time pass rate, tachograph infringements and card download compliance. You can see where you stand before applying and produce the monthly reports afterwards.
Can HERO read tachograph downloads and find infringements?
Yes. Driver-card and vehicle-unit download files are decoded on HERO and analysed against EU Regulation 561/2006 for driving time, breaks and rest. Infringements are listed per driver for review and sign-off, download due dates are tracked, and drivers of light vehicles keep a domestic hours log book in the app instead.
Training, toolbox talks & audits
Does HERO manage staff training records?
Yes. Every employee has a training record with courses, certificates, dates and expiry. Required training is set per role and per scheme, so the training matrix shows who still needs what, and a course cannot be marked complete until the certificate is uploaded. Expiry reminders go out before Driver CPC, ADR, first aid, forklift and other certificates lapse, and FORS training requirements come pre-loaded.
Does HERO do toolbox talks?
Yes. Toolbox talks are assigned to individuals or teams, delivered on a phone or tablet with photos or video where useful, and signed by each attendee on screen. HERO keeps the attendance register with signatures and dates, reports who has not yet had a talk, and links the talks to the compliance requirements that ask for them.
Can HERO run internal audits and corrective actions?
Yes. HERO comes with audit templates for the main standards, including FORS, ISO and the O-Licence undertakings, or you build your own. Audits are run check by check on a tablet, failed checks raise findings automatically, and each finding carries a root cause, a corrective action, an owner and a due date. A manager verifies the close-out, reopened findings are counted, and the audit history and management review pack are ready for external assessors.
Fuel, water and site equipment
Does HERO manage fuel?
Yes. The HERO Fuel Box fits to a pump or bowser and records every draw with the driver's RFID or NFC tag, the vehicle, litres and GPS position. Tank monitors report levels and deliveries, and the same system handles water and waste dispensing. Transactions flow straight into vehicle costs and reports. Devices are hired per unit, per month.
HR & payroll
What does HERO do for HR?
Onboarding with e-signed contracts and policies, a document library with mandatory-document tracking and expiry reminders, training records and toolbox talks, driver assessments, timesheets, holiday and sickness, and a My HR portal where staff sign documents and see their own records.
Does HERO run payroll and report to HMRC?
Yes. HERO runs PAYE payroll with statutory pay, pensions and CIS, produces payslips, and submits RTI Full Payment Submissions and Employer Payment Summaries directly to HMRC. P11D benefits in kind are supported too.
Finance & filing
Does HERO include accounting?
Yes. Quotes, invoices and recurring invoices, expenses, a full double-entry ledger, bank statement import with reconciliation and AI-assisted matching, VAT returns, aged debtors and creditors, profit and loss, balance sheet and trial balance, direct debit collection and platform billing. It is included, not a separate product.
Can HERO file accounts and tax returns for me?
Yes. HERO files Corporation Tax CT600 returns with iXBRL accounts and computations to HMRC, and annual accounts to Companies House in every small-company format, both accepted live. Making Tax Digital VAT filing is built and is going through HMRC's recognition process.
Is HERO HMRC approved?
HMRC does not approve software; it recognises software for specific filings. HERO's RTI payroll submissions and Corporation Tax returns are accepted by HMRC live, and its Companies House accounts filing is accepted live. HERO's Making Tax Digital VAT filing is currently in HMRC's recognition process.
HERO AI & your data
What is HERO AI?
HERO AI is an assistant built into HERO that answers questions from your own data and a curated library of UK transport, HR, tax and compliance guidance. It runs on HERO's own servers in the UK, so your data is never sent to an outside AI provider. It also reads incoming documents, checks records overnight for gaps, and drafts policies and reports.
Where is my data stored and who can see it?
On servers owned and operated by Johno Service Hire Ltd in the UK, replicated to a second server with nightly backups. Every company has its own separate database and its own database login, so no company can see another's data. Access uses multi-factor authentication and role-based permissions, and records are kept and purged in line with UK GDPR retention rules.
Can I run more than one company in HERO?
Yes. HERO is multi-company. Each company has its own users, vehicles, drivers, finance and compliance, and a group can hold several companies under one login.

How much does HERO cost?
HERO's standard plans are Starter at £199 per month for up to 10 trucks, Professional at £499 per month for up to 50 trucks, and Enterprise at £999 per month for up to 200 trucks, every feature included in each. There is currently an offer of £5 per truck, per month, with every feature included, so you pay only for the trucks you run; see the pricing page for the current offer terms. Optional add-ons are switched on per company and billed with the subscription: DVLA licence checks at £1.50 to £1.90 per check, GPS tracker, fuel dispenser, water dispenser and tank monitor hire per device per month, the AI Document Inbox and HERO Passport. Monthly or annual billing, no separate contracts.

Does HERO work on phones and tablets?
Yes. HERO is a web app that runs in any modern browser, and the driver, fitter and supervisor apps are built for phones so walkaround checks, log books and job sheets are done on the vehicle.
What is HERO Passport?
A shareable compliance profile for your company. Buyers and main contractors can see your accreditations, insurances, fleet standards and policies in one verified page instead of asking for the same documents on every tender.
